RFID has revolutionised filing systems for industries across the globe as it has helped to automate the collection and management of critical files, which has led to improved productivity and regulatory compliance. The RFID file system has reduced file location and inventory errors while facilitating quick file retrieval which streamlined a process that otherwise depended on physical files and human involvement. It has also strengthened security with its web-based status retrieval that provides alerts if there is an unauthorised access.
How do they work?
Similar to how it works for products and delivery systems, each file or document is tagged with a unique encoded RFID tag. Each tag is associated with a particular file through the relevant software. The data regarding the file or document is stored in a database with an Electronic Product Code or EPC, a universal identifier that gives a unique identity to a specific physical object. Then when a file or document needs to be retrieved, the associated EPC can be queried in the database by an RFID reader. This helps to accurately locate the requested document or file.
RFID readers
RFID tag label systems can be used with both portable or handheld and stationary readers. With a handheld device you have the flexibility of waving the reader along your stored files and folders. It will automatically scan the RFID tags and update your records. It is a quick process because you do not have to scan the files individually, unlike a barcode reader. If a file or folder has been misplaced you can use the portable reader to locate it.
When it comes to stationary readers they can be placed at required points throughout a building so that files can be tracked from location to location. They monitor the direction the files are moving in and note the date and time. Stationary readers can also scan the RFID tag labels of stacked files and folders making keeping track of a larger number of items even easier.
The way an RFID file system works has made many processes easier to manage which is why it is a popular and much needed addition to different industries and departments across the world.
